Our client, a private equity owned manufacturing company located in Elk Grove Village, is seeking an experienced Executive Assistant to provide high-level support to the CEO and full C-Suite. This role requires exceptional organizational skills, international travel coordination expertise, and the ability to manage complex projects independently. The ideal candidate thrives in a fast-paced environment, demonstrates proactive problem-solving, and has experience preparing Board-level materials. This is a fully onsite role with the hours of 8-5pm Monday through Friday.

Responsibilities

  • Provide comprehensive administrative support to the CEO and C-Suite executives.
  • Coordinate complex international travel (Asia, Europe, Mexico), including visas, hotels, and itineraries.
  • Ensure seamless travel experiences by anticipating and resolving issues proactively.
  • Prepare and manage Board meeting materials and assist with executive presentations.
  • Organize and execute customer visits and related global logistics.
  • Plan and manage events and special projects with minimal supervision.
  • Maintain calendars, schedule meetings, and prioritize competing demands effectively.
  • Serve as a liaison for internal and external stakeholders, ensuring clear communication and follow-through.

Qualifications

  • Proven experience as an Executive Assistant supporting C-Suite or VP-level executives.
  • Expertise in international travel coordination and visa processes (Asia and EU preferred).
  • Strong project management and event planning skills.
  • Experience preparing Board materials and executive-level presentations.
  • Exceptional organizational and time-management abilities.
  • Proactive, detail-oriented, and able to manage multiple priorities independently.
  • Excellent communication and interpersonal skills; able to work collaboratively with diverse teams.
