Job Title: Executive Assistant (6-Week Temporary Assignment)

Location: Minneapolis, MN (Onsite)

Duration: 6 Weeks (Starting First Week of April)

Position Summary

Beacon Hill's client is seeking a highly skilled Executive Assistant to provide proactive and high-level administrative support to two C-suite executives during a six-week leave coverage. This role requires exceptional organization, discretion, and adaptability in a fast-paced corporate environment. Key responsibilities include complex calendar management, travel coordination, meeting preparation, and executive support.

This is an exciting 6-week contract opportunity that is fully onsite in Minneapolis, MN.

Key Responsibilities

  • Calendar & Meeting Management - Manage complex schedules in Outlook for two executives, prioritizing and coordinating meetings efficiently.
  • Travel Coordination - Arrange domestic and international travel through Concur, ensuring detailed itineraries and seamless logistics.
  • Meeting Preparation - Prepare agendas, PowerPoint presentations, and materials for executive meetings.
  • Administrative Support - Handle expense reports, document management, and correspondence with a high level of accuracy.
  • Event & Conference Planning - Coordinate onsite meetings, team events, and catering as needed.
  • Executive Liaison - Act as a point of contact between executives, teams, and external partners, ensuring clear communication and follow-through.
  • Confidentiality & Professionalism - Manage highly sensitive information with discretion and integrity.

Qualifications & Experience

  • 5+ years of experience as a Senior Administrative Assistant supporting C-suite or Director-level executives.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint) is required.
  • Experience with Concur for travel booking and expense management is a plus.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to adapt to shifting priorities and work effectively in a fast-paced environment.
  • High level of professionalism, confidentiality, and attention to detail.
  • Availability to work onsite, full-time during standard business hours (8:00 AM - 5:00 PM), with occasional evening or weekend support as needed.
