The Executive Administrative Assistant serves as a subject-matter expert, handling inquiries, developing action plans, and assisting with preparation and dissemination of materials and communications in support of the Executive team. This role will support multiple Executive Leadership Team members by performing the following main duties:
Responsibilities:
- Coordinate complex scheduling and calendar management for specific executive team members.
- Empowers executives with the autonomy to make strategic decisions by making judgement calls and prioritizing competing demands.
- Liaison between executive team and internal and external partners, building and leveraging networks to enable executive leadership team.
- Facilitates the planning, scheduling, and execution of meetings, ensuring all necessary preparations are in place.
- Manages and filters incoming calls, emails, and other correspondence, prioritizing and responding appropriately.
- Editing, proofing, formatting, document design/production, form filling, and data entry using various systems and tools (including MS Word, Excel, PowerPoint, etc.)
- Coordinates travel arrangements, creating detailed itineraries/agendas and handling travel logistics, considering executive preferences and business requirements.
- Completes expense management for the executives they support.
- Operates in a proactive manner, adapting to evolving priorities, multitasking effectively to meet the dynamic needs of the executives and the organization.
Requirements:
- 4+ years of administrative, business support experience required. Previous experience supporting c-suite leaders is strongly preferred.
- Self-leadership and keen problem-solving skills are required to be successful in this role.
- Ability to handle sensitive and/or confidential information.
- Exceptional organizational abilities to manage complex schedules, prioritize tasks, and coordinate multiple responsibilities.
- Strong written and verbal communication skills.
- Comfortable with ambiguity and ability to navigate shifting priorities.
- Meticulous attention to detail.
- Proactive approach in anticipating needs and taking initiative to address them with minimal supervision.
- Proficient with key software applications (Office 365 Suite, SharePoint).
