Senior Administrative Assistant

Location: St. Paul, MN

Job Type: Full-Time, Temp-to-Perm

Schedule: 8:30 AM - 5:00 PM

Pay Range: $28 - $31 per hour

Position Summary

Beacon Hill's client is seeking a highly organized and proactive Senior Administrative Assistant to provide administrative and coordination support to executive leadership. This role involves heavy calendar management, handling correspondence, organizing meetings, and supporting business operations with a high level of professionalism and discretion.

This is an exciting temp-to-hire position that is onsite in St. Paul, MN.

Key Responsibilities

  • Manage executives' schedules, appointments, and client check-ins.
  • Coordinate travel arrangements for executives, staff, and board members.
  • Assist with timecard management and time-off requests for direct reports.
  • Provide logistical support for meetings, trainings, and external presentations.
  • Draft and format business communications, including emails, letters, and reports.
  • Conduct research on business development, policy, marketing, and industry trends.
  • Maintain confidential materials and ensure privacy compliance.
  • Prepare meeting agendas, take notes, and distribute minutes for executive and board meetings.
  • Support company-wide literature requests with the latest industry research.
  • Process expense reports and manage administrative filing, correspondence, and documentation.
  • Other administrative duties as assigned.

Qualifications

  • Education: Bachelor's degree or equivalent work experience.
  • Experience: 5+ years of administrative support at a Director level or higher.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong customer service skills and ability to interact professionally at all levels.
