A National firm is seeking an Event & Hospitality Coordinator to work out of our Fort Lauderdale office. This position will coordinate and execute on-site and off-site events and hospitality tasks for the firm locally in South Florida, as well as in other states. This is a full-time in-person role and will provide an array of hospitality, food and beverage and event support to the firm.

The Event and Hospitality Coordinator is responsible for the support and assistance in the execution of events, meetings & lunches for the firm's attorneys, staff and clients across all the firm's offices. This role will be to provide on-site setup and food and beverage service for in-office meetings and events, as well as event RSVP tracking, vendor research, and meeting and event setup and breakdown. In addition, this role requires working in conjunction with and providing support to other firm departments such as Facilities, Office Services, Reception, and others, as needed.

Duties and Responsibilities:

  • Maintenance of conference rooms including calendar tracking, meeting set ups with food and beverage, office service needs such as meeting supplies restock, and inventory management and restocking for the local office daily.
  • Maintains Event & Hospitality tracking spreadsheets in Excel, RSVP lists for upcoming events, and assists with filing in MS Teams and joint outlook inboxes; participates in pre- and post-event production.
  • This role also includes the maintenance and assistance of inventory and supplies for the local offices.
  • This role supports our local Florida offices with setups, events, inventory and supplies. While this position is based in our Fort Lauderdale office, the coordinator will be working 1-2 days per week in our Miami office, based on the event schedule.
  • Tracking and saving order receipts, meeting requests and information in accordance with the departmental processes, and firm-wide policies.
  • Coordinates with office services for shipping and other services, as needed.
  • Outlook calendar and conference room management experience is required.
  • A thorough knowledge of Excel, MS Outlook, MS Teams is required. Knowledge of Zoom, Vuture (or similar marketing platforms such as Marketo or Eloqua), Canva and project management software like Asana is a plus. Strong written and verbal skills are preferred.
  • This role requires in person and written communication with executive team members, attorneys and clients - experience working in a client facing environment is a requirement.
  • Data management includes registration and RSVP lists, inventory, vendor management, etc.
  • Works directly with local vendors for any firm-related event.
  • Responsible for providing food and beverage setups for any firm-related events.
  • Works registration tables and booths at conferences as needed.
  • Provide support and assistance with community events, employee engagement campaigns, political and judicial fundraisers, firm holiday events, and related items including shipping, receivables, print job(s) coordination, and other projects.

Preferred Education and Experience:

  • High School Diploma and/or Associates Degree.
  • 2+ years' experience in food service preferred; bartending experience is a plus.
  • Event coordination experience and/or hotel food and beverage service experience preferred.
  • Proficient in Microsoft Office, Outlook, Teams. Experience with Excel is necessary.
  • This position requires lifting and moving boxes up to 50 lbs., such as wine and liquor boxes, moving and setting up tables & chairs and other event and meeting related tasks.
