Job Title: Administrative Support Specialist
Location: Minneapolis, MN (primarily remote)
Schedule: 20 hours per week to start, with potential for increased hours as training progresses
Pay Rate: $25-$27/hour
Position Overview:
We are seeking an experienced and detail-oriented Administrative Support professional to assist an operations team focused on patient case tracking. This role involves high-volume data entry, report organization, communication tracking, and document management. Ideal candidates will be self-sufficient, tech-savvy, and able to work independently while supporting multiple workflows.
Key Responsibilities:
Data Entry & Recordkeeping
- Maintain and update multiple tracking spreadsheets (e.g., FedEx delivery logs, patient requests).
- Enter patient information into internal forms and databases.
- Organize files within a shared drive, ensuring records are named and stored accurately.
Patient Request Processing
- Complete request forms using provided data and submit to designated internal teams.
- Save and manage request files in shared folders.
- Create and update folders to track ongoing requests and results.
Results Tracking & Documentation
- Receive and process results files; upload to corresponding patient folders.
- Update trackers with result dates and completion statuses.
- Identify when all required results for a case have been received.
Communication Support
- Contact family members when updated contact information is needed.
- Coordinate with internal teams as needed for status updates or clarification.
Additional Responsibilities:
- Manage bulk request submissions and update related trackers.
- Support data entry into CRM systems and specialized databases (e.g., patient case creation).
- Assist with administrative follow-up related to case approvals.
Requirements:
- Minimum of 2 years of administrative experience (not suitable for new graduates).
- Proficient in Microsoft Office Suite, especially Excel.
- Comfortable working in CRM systems and shared drive environments.
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Reliable internet connection and ability to work remotely during Central Time business hours.
- Availability to work Monday-Friday preferred; open to Monday-Thursday for the right candidate.
