A small and growing company in Vernon Hills is looking for a permanent Executive Assistant to support their Chief Operating Officer (COO). The Executive Assistant will provide executive level support to the COO and participate in a wide range of projects. The primary responsibility of this role is to support the COO in driving strategic initiatives and project management across the organization. The ideal candidate will possess proven leadership experience and thrive in a dynamic environment.

Key Responsibilities:

  • Assist the COO in implementing strategic initiatives, maintaining focus on deliverables and outcomes.
  • Represent the COO in internal and external meetings, effectively articulating objectives and outcomes, and driving relevant agendas.
  • Prepare materials, reports, and presentations for internal and external stakeholder meetings.
  • Document meeting minutes, action items, and follow-up items to ensure accountability.
  • Draft and proofread correspondence, reports, and presentations demonstrating professionalism and attention to detail and maintaining utmost confidentiality.
  • Manage the COO's calendar, prioritizing appointments and ensuring efficient use of time.
  • Handle travel arrangements, expense reports, and special projects as assigned.

Skills/Qualifications:

  • Bachelor's degree in a related field strongly preferred OR 5+ years of relevant work experience.
  • 2+ years of experience in providing high-level administrative support to executives.
  • Detail oriented, organized with proven ability to successfully multi-task and problem solving
  • Outstanding interpersonal skills and preference for collaboration with proven success working with others; ability to work with high profile individuals externally, as well as collaborate internally
  • Ability to operate effectively in a fast-paced, ambiguous environment, demonstrating resilience and adaptability; works well under pressure and tight deadlines
  • Ability to consistently apply good judgment and make good decisions.
  • Proven analytical and problem-solving abilities
  • Proficient in MS Office
