New Business Intake Coordinator
Location: Dallas, TX (hybrid after 90-days)
Full-Time, Direct-Hire
Beacon Hill Legal is seeking a New Business Intake Coordinator to join a commercial law firm. As the New Business Intake Coordinatory you will play a vital role in onboarding new clients and matters, ensuring accuracy and compliance across our systems.
Responsibilities
- Manage new client and matter intake through Intapp Open
- Review submissions for completeness and accuracy, ensuring all required fields and documentation are in place
- Collaborate with attorneys and legal professionals to gather information and resolve setup issues
- Review engagement letters for compliance and escalate exceptions as needed
- Maintain accurate client and billing data in the 3E system
- Conduct due diligence on prospective clients to assess suitability
- Create and manage matter numbers for various internal accounts and workspaces
- Coordinate with Records Department on matter closures and transfers
- Respond to inquiries regarding client and matter files
- Assist with conflict searches and support special projects as needed
Qualifications
- Associate's degree or equivalent experience
- Minimum of 1 year of experience in new business intake in a law firm setting
- Proficiency in MS Office (Outlook, Excel, Word)
- Experience with Elite 3E and Intapp Open (or similar systems)
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- A proactive mindset and collaborative spirit
