Our client, a private markets advisory firm, is seeking an Executive Assistant in Upper-Midtown NYC. This firm manages portfolios for clients around the world and provides the opportunity to work closely with professionals who shape this organization! They're looking for a candidate with a strong sense of autonomy who can represent the brand with polish and attentiveness. This role follows a hybrid schedule, four days in office and one remote. Hours are generally 8:30am-5:30pm with flexibility to work OT for urgent matters.
Responsibilities:
* Provide executive-level support to the Head of Americas and one additional Group Head, including complex calendar management and meeting coordination
* Arrange domestic and international travel, prepare detailed itineraries, and manage last-minute changes
* Draft correspondence, prepare briefing materials, and compile confidential documents for leadership
* Act as a liaison with clients, stakeholders, and internal teams while maintaining discretion and professionalism
* Process expenses, coordinate client-related scheduling (including roadshows), and support pipeline meeting preparation
* Partner with the broader U.S. and global EA team to ensure seamless coverage, collaboration, and best practices
Qualifications:
* 8+ years of Executive Assistant or senior-level support experience, ideally within financial services or professional services
* Strong client-facing skills with polished communication and high emotional intelligence
* Exceptional organizational, multitasking, and time management abilities in a fast-paced environment
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools
* Ability to remain calm, proactive, and solutions-focused under pressure
* Experience coordinating international travel and supporting senior leadership
* Bachelor's degree preferred
