Job Title: Workplace & Facilities Associate
Location: Minneapolis, MN (Onsite)
Schedule: Monday - Friday, 8:00 AM - 4:30 PM


Position Summary

Beacon Hill's client in Minneapolis, MN is seeking a Workplace & Facilities Associate to provide comprehensive workplace management and front-office support. This pivotal role ensures a seamless workplace experience by delivering exceptional customer service, supporting daily facility operations, and maintaining a welcoming environment for employees and visitors. The ideal candidate is highly organized, service-oriented, and able to balance administrative tasks with facilities coordination in a professional, fast-paced setting.


Key Responsibilities

Workplace Operations

  • Create a welcoming and professional environment for employees, clients, and visitors.

  • Serve as the first point of contact at reception and manage main phone line communications.

  • Monitor office and facility conditions daily, addressing needs proactively.

  • Schedule, coordinate, and communicate maintenance activities.

  • Manage internal work order systems, vendor coordination, and invoice processing.

  • Provide tactical support to workplace and project management teams.

Employee & Visitor Experience

  • Deliver authentic, timely, and caring service to employees and guests.

  • Assist with meeting and conference room reservations.

  • Direct guests and staff to appropriate contacts and resources.

  • Ensure visitor registration complies with regulatory and security standards.

  • Support emergency response and safety procedures when required.

Facilities & Administrative Support

  • Oversee mail services, including receipt, distribution, and outgoing packages.

  • Manage badge access for employees and visitors.

  • Support budget requests, analysis, and compliance reporting.

  • Monitor and maintain kitchen areas: stock supplies, manage orders, and coordinate repairs.

  • Provide additional support and projects as assigned by management.


Qualifications

Education:

  • Associate's degree in Facilities Management, Business, or related field preferred (not required).

Experience:

  • 2+ years of experience in facilities or property administration preferred.

  • Experience with CMMS or work order systems (such as Corrigo) a plus.

Skills & Knowledge:

  • Strong customer service and communication skills.

  • Ability to remain professional under pressure.

  • Effective planning, organizational, and multitasking abilities.

  • Proficiency with Microsoft Office Suite; advanced Excel skills a plus.

  • Strong collaboration skills with the ability to work independently.
