Job Title: Construction Project Coordinator (Contract)

Location: Beacon Hill's client - Minneapolis, MN

Compensation: $25-33/hour (Depending on Experience)

Schedule: Onsite, regular business hours, free street parking available (Uptown area).

Duration: 5-6 months (covering two leaves)


Position Overview

Beacon Hill's client in Minneapolis is seeking a detail-oriented and proactive Construction Project Coordinator to support both the accounting and operations teams during a five- to six-month contract. The first 6-8 weeks will focus on supporting accounting tasks, followed by a shift to operations and project administration. This role requires strong organizational skills, the ability to manage multiple priorities, and comfort working in a fast-paced construction environment.


Key Responsibilities

Accounting Support (initial 6-8 weeks):

  • Sort, scan, and file invoices and supporting documents by project and department.

  • Enter invoice data into the paperless routing and approval system.

  • Update vendor records in ERP systems.

  • Perform data entry for credit card expense reports.

  • Review vendor statements and pre-lien notice forms.

  • Track and review second-tier lien waivers; verify subcontractor and vendor payments.

  • Assist with wage compliance tracking.

Project Coordination (remainder of contract):

  • Coordinate and document project kick-off/startup meetings; follow up on action items.

  • Set up project directories and organize documentation after contract execution.

  • Collect subcontractor compliance documentation (e.g., licenses, insurance certificates) and manage updates throughout project lifecycles.

  • Manage owner and subcontractor change orders from distribution to final signatures.

  • Assist accounting with transferring utilities and other project assets to owners.

  • Assemble closeout packages, including O&M manuals, warranties, and subcontractor information.

  • Confirm delivery of all closeout materials and obtain owner sign-off.

  • Provide general administrative support to project and field teams.


Qualifications

  • Proficiency in Microsoft 365 (Excel, Outlook, SharePoint, Teams), Adobe or Bluebeam; Procore experience strongly preferred.

  • Exceptional attention to detail and accuracy.

  • Strong organizational and communication skills (written and verbal).

  • Ability to manage confidential information and prioritize tasks independently.

  • Construction background or familiarity with project management processes preferred.

  • 2-year degree or equivalent business experience required.
