Position: Temporary Executive Assistant
Location: Charlestown, MA - Onsite Mon-Thurs, remote Friday (flexible based on business needs)
Duration: 4-5 months (temporary maternity leave coverage, potential for extension)
Pay: $40/hr

Overview:
We are seeking an experienced Executive Assistant to provide high-level support to the Chief Financial Officer (CFO) and, on occasion, the VP of Innovation. This role requires strong organizational skills, the ability to manage competing priorities, and a collaborative approach to working across teams.

Key Responsibilities:

  • Provide executive-level administrative support, primarily to the CFO (80%) and partially to the VP of Innovation (20%).
  • Manage complex calendars, schedule meetings, conferences, interviews, and appointments.
  • Draft, proofread, and prepare correspondence, board presentations, and reports.
  • Review documents requiring executive approval/signature, such as purchase orders, contracts, leave requests, and expense reports.
  • Coordinate travel, logistics, and meeting preparation as needed.
  • Deliver excellent customer service when answering calls, screening inquiries, and liaising with internal and external stakeholders.
  • Maintain strong relationships with the finance team and administrative support staff.

Qualifications:

  • Previous Executive Assistant experience supporting C-level executives.
  • Strong skills in calendar management, prioritization, and working with multiple personalities.
  • Expertise with Microsoft Office Suite, particularly Outlook, PowerPoint, and Excel.
  • Experience with tools like Tallie and Smartsheets (preferred).
  • Excellent attention to detail, discretion, and communication skills.
  • Ability to thrive in a collaborative, fast-paced environment.
