Administrative Assistant
Overview
The Administrative Assistant provides high-level administrative support to a Managing Director and their team. This role requires exceptional organizational skills, attention to detail, and the ability to manage competing priorities in a fast-paced environment.
Key Responsibilities
Manage complex calendars, schedule internal and external appointments, and coordinate with other administrative staff.
Answer calls and act as a professional gatekeeper.
Provide back-up support for other senior professionals as needed.
Arrange conference rooms, greet and register guests.
Prepare and track detailed expense reports and reimbursements.
Coordinate domestic and international travel, including flights, visas, ground transportation, and accommodations.
Maintain and organize digital and physical files.
Assist with special projects as assigned.
Qualifications
Minimum of 4 years of experience as an administrative assistant supporting at least three team members.
Strong written and verbal communication skills with a high level of emotional intelligence.
Excellent organizational skills and attention to detail.
Ability to multitask and meet deadlines while maintaining discretion and professionalism.
Proven experience managing complex travel arrangements.
Independent work style with strong follow-through and reliability.
Ability to build effective professional relationships across teams.
Familiarity with Concur is preferred.
Proficiency in Microsoft Office Suite.
Compensation
Expected annual base salary range: $70,000 - $130,000, depending on experience, skills, qualifications, and location.
Additional compensation and benefits are provided in accordance with company policies and local market standards.
