Administrative Assistant

Overview
The Administrative Assistant provides high-level administrative support to a Managing Director and their team. This role requires exceptional organizational skills, attention to detail, and the ability to manage competing priorities in a fast-paced environment.

Key Responsibilities

  • Manage complex calendars, schedule internal and external appointments, and coordinate with other administrative staff.

  • Answer calls and act as a professional gatekeeper.

  • Provide back-up support for other senior professionals as needed.

  • Arrange conference rooms, greet and register guests.

  • Prepare and track detailed expense reports and reimbursements.

  • Coordinate domestic and international travel, including flights, visas, ground transportation, and accommodations.

  • Maintain and organize digital and physical files.

  • Assist with special projects as assigned.

Qualifications

  • Minimum of 4 years of experience as an administrative assistant supporting at least three team members.

  • Strong written and verbal communication skills with a high level of emotional intelligence.

  • Excellent organizational skills and attention to detail.

  • Ability to multitask and meet deadlines while maintaining discretion and professionalism.

  • Proven experience managing complex travel arrangements.

  • Independent work style with strong follow-through and reliability.

  • Ability to build effective professional relationships across teams.

  • Familiarity with Concur is preferred.

  • Proficiency in Microsoft Office Suite.

Compensation

  • Expected annual base salary range: $70,000 - $130,000, depending on experience, skills, qualifications, and location.

  • Additional compensation and benefits are provided in accordance with company policies and local market standards.
