Job Title: Program & Events Coordinator
Location: Oklahoma City, OK (Hybrid with travel across the state)
Schedule: Full-time, some evenings/weekends, occasional national travel (3-4 trips per year)
Assignment Type: 6-month (temp to hire)
Hourly Pay: $25-$30/hr
Training Start: Flexible


Position Summary

Beacon Hill's client in Oklahoma City, OK is seeking a Program & Events Coordinator to plan, execute, and manage community engagement and donor recruitment programs for Donor Registry. This role educates, engages, and inspires the public to support the mission, with a specific focus on increasing the national registry through outreach to colleges, community organizations, corporations, and service sectors.

The Program & Events Coordinator is a public-facing position responsible for delivering presentations, awareness events, and volunteer recruitment activities while providing excellent customer service and volunteer support. This role requires independence, strong organizational skills, and the ability to travel across Oklahoma to meet recruitment and engagement goals.


Key Responsibilities

Community & Event Leadership

  • Plan, organize, and execute mission-focused events (live and digital) with a focus on donor recruitment and volunteer engagement.

  • Build and maintain relationships within communities, including community leaders, organizations, media, and local points of contact.

  • Serve as liaison between the organization and the community, responding to leads and referrals in a timely manner.

  • Deliver presentations and educational outreach to expand awareness and increase participation in the donor registry.

  • Educate potential donors about the donation process and registry expectations to ensure informed participation.

  • Develop an annual activity plan, including college campus rotations and community events, to meet recruitment goals.

Internal & External Partnership Leadership

  • Collaborate with account managers and marketing teams to develop and execute engagement strategies.

  • Partner with network transplant centers to identify patients and families interested in supporting the mission.

  • Provide support to patient families and refer to appropriate registry services.

  • Share impactful patient and donor stories with marketing teams for media outreach.

Volunteer Management Support

  • Recruit, train, and manage volunteers, including episodic and long-term volunteers.

  • Track volunteer data and hours and support volunteer recognition initiatives.

  • Ensure volunteers are properly trained and supported throughout engagement activities.


Required Qualifications

  • Bachelor's degree or equivalent experience in community development, event planning, sales, or account management.

  • 2+ years of experience in sales, community or business development, client account management, or event planning with measurable goals.

  • Strong oral and written communication skills, public speaking, and presentation skills.

  • Proficiency with Microsoft Office, Salesforce, and internet research.

  • Self-motivated, goal-driven, and able to work independently.

  • Ability to travel within Oklahoma (25-50%) and work evenings/weekends as needed.

  • Valid driver's license and reliable transportation.

  • Knowledge of sales, marketing, and volunteer management; ability to leverage social media and digital marketing for recruitment.

Preferred Qualifications:

  • Personal connection to the mission or experience as a donor.

  • Familiarity with college/university systems, affinity groups, student organizations, or athletics.


Physical & Other Requirements

  • Must be able to travel across the state independently.

  • Ability to engage with community members in person, including standing or walking during events.
