Position: Legal Executive Assistant
Location: Lower Manhattan, New York (3 days in 2 out)
Compensation: $90,000 - $110,000 annually, commensurate with experience
About the Firm
We are a full-service law firm of approximately 80 attorneys located in Lower Manhattan. Our team provides sophisticated legal services across a wide range of practices, and we are seeking a highly skilled Legal Executive Assistant to provide direct administrative and project support to our attorneys.
Responsibilities
- Prepare, edit, and format correspondence, memoranda, and other legal documents.
- Proofread documents to ensure accuracy and compliance with firm standards.
- Draft and organize litigation materials, including Tables of Contents and Authorities.
- Run blacklines and assist with case filings.
- Prepare New Case Memoranda and Engagement Letters.
- Enter attorney time in the firm's billing system and process expense reports.
- Maintain and organize client files in the Document Management System.
- Assist with presentations, including formatting and editing PowerPoint decks.
- Coordinate meetings, travel arrangements, conference room bookings, and related logistics.
- Provide general administrative support, including copying, ordering meals, and other tasks as needed.
Qualifications
- High school diploma required; Associate's or Bachelor's degree preferred.
- Minimum 5 years of law firm experience in a legal secretary or administrative role.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
- Prior experience with NetDocuments, Best Authority, and time/billing systems strongly preferred.
- Excellent grammar, spelling, and attention to detail.
- Strong time management and multitasking skills with the ability to meet deadlines.
- Professional communication skills with attorneys, clients, and staff.
- Ability to handle confidential matters with discretion and tact.
- Flexibility to work overtime as needed.
