Sales Administrator

About the Role
Beacon Hill is seeking a detail-oriented Sales Coordinator to support our their clients team out of Indianapolis. In this role, you’ll work closely with commercial real estate producers and play a key part in the administrative, financial, and operational functions that help our office run smoothly. You’ll collaborate with brokers, research, marketing, and finance, gaining broad exposure to the business while contributing to a dynamic, fast-paced, and inclusive team environment.
What You’ll Do

Compile market insights and data to produce client-facing materials such as surveys, tour packets, and competitive analyses

Prepare a wide range of transaction documents, including RFPs, LOIs, renewal notices, leasing updates, and client/prospect communications

Maintain and update CRM records to ensure accurate tracking of deal activity, clients, and prospects

Develop and refine presentations, proposals, correspondence, and other materials for client and prospect meetings

Help organize and manage client functions, team meetings, industry events, and open houses

Act as a central point of contact with internal teams (Research, Marketing, Finance, etc.) to support client needs and information requests

Manage broker expense workflows, including organizing receipts, ensuring policy compliance, and submitting reports in PeopleSoft

Coordinate travel logistics and itineraries as needed

Handle multiple projects at once while consistently meeting deadlines and following through on priorities

Provide comprehensive administrative assistance, including scheduling, printing/binding, greeting guests, preparing meeting spaces, IT support for brokers, and occasional front desk coverage

Take on additional administrative duties as they arise
What You Bring
Required
-
1+ years of experience supporting multiple professionals, preferably in commercial real estate or a similar professional services environment

Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to learn new platforms, including JLL’s in-house systems

Adobe InDesign experience is helpful, but not required
