Job Title: Union Payroll Coordinator
Location: Eagan, MN (Hybrid – 1-2 days/week remote after training)
Schedule: Monday-Friday, 7:30 AM-4:30 PM (flexible)
Compensation: $34-$36/hour | Temp-to-Hire
Job Summary
Beacon Hill’s client in Eagan, MN is seeking a Union Payroll Coordinator to manage all aspects of payroll administration for union and non-union employees across multiple states. This role requires strict adherence to collective bargaining agreements, prevailing wage laws, and all applicable federal, state, and local regulations. The Union Payroll Coordinator will collaborate with employees, managers, and external partners professionally, maintain organized documentation, and leverage technology to improve efficiency. Minimum of 3 years of payroll experience with union payroll required.
Key Responsibilities
Payroll Processing
- Prepare and process weekly payroll using the payroll system, ensuring accuracy and timeliness.
- Verify timecards for correct pay rates, job codes, union codes, tax withholdings, and other payroll details.
- Ensure compliance with collective bargaining agreements, Hawaii Chapter 104, and wage/hour laws.
- Maintain accurate employee data in B2W Payroll Track, including new hires and pay classifications.
- Coordinate with HR on PTO usage, deductions (medical, dental, FSA, 401(k)), and other withholdings.
- Manage direct deposit records and submit bank files for timely payments.
- File and remit payroll tax deposits to federal and state agencies.
- Process child support orders and wage garnishments in compliance with legal requirements.
- Prepare journal entries, account reconciliations, and weekly payroll reports.
- Generate Certified Payroll Reports and track subcontractor submissions.
- Complete monthly, quarterly, and annual payroll reports
Union & Prevailing Wage Compliance
- Prepare monthly union reconciliations and reports; coordinate payments with Accounts Payable.
- Manage union renewals, work classifications, base rates, and fringe amounts in the payroll system.
- Monitor Hawaii Department of Labor Wage Rate Schedule and update payroll system accordingly.
- Handle union, prevailing wage, and certified payroll audits professionally and promptly.
Additional Duties
- Research and resolve payroll tax notices and discrepancies.
- Respond to employee and management inquiries regarding payroll and pay discrepancies.
- Prepare annual MCPAP and UCWCP reports.
- Maintain payroll system infrastructure in collaboration with vendor and CFO.
- Stay current on payroll system enhancements and identify process improvement opportunities.
- Maintain organized paper and electronic files; document procedures.
- Perform other duties as assigned.
Qualifications
- High School diploma required; some college or CPP certification preferred.
- Minimum 3 years of payroll experience with union payroll required.
- Experience with multi-location payroll.
- Strong knowledge of payroll administration, federal/state regulations, union and prevailing wage rules.
- Detail-oriented with a commitment to accuracy and confidentiality.
- Excellent communication and customer service skills.
- Ability to analyze data, solve problems, and meet deadlines in a fast-paced environment.
- Proficient in Microsoft Outlook, Word, Excel, and PowerPoint.
