Our client, a private equity firm headquartered in Austin, TX (The Warehouse District), is seeking a full-time Executive Assistant to provide high-level support to multiple senior executives. This person will serve as a polished, professional representative of the firm and act as a critical point of coordination across teams, partners, clients, and external stakeholders. The Executive Assistant will manage complex calendars, meetings, travel, and administrative operations in a fast-paced, high-expectation environment. This role is fully onsite in Austin, Monday through Friday, and requires exceptional judgment, discretion, and proactive problem-solving skills. Candidates with prior experience in private equity, investment banking, law, or professional services are strongly preferred. Compensation will be up to 115k, depending on experience.
Responsibilities:

Manage complex, frequently changing calendars; proactively identify and resolve scheduling conflicts

Maintain awareness of executive priorities, deadlines, and commitments; provide timely follow-up and ensure leaders are prepared.

Anticipate needs of supported executives and ensure seamless execution of day-to-day operations.

Coordinate domestic and international travel, including transportation, lodging, itineraries, and logistics.

Prepare executives for meetings and travel with required materials and information.

Support in-office meetings, including room reservations, catering, and ensuring room readiness.

Assist with guest logistics and hospitality as needed.

Prepare and submit accurate expense reports in alignment with company policies.

Work closely with other Executive Assistants to share information and maintain consistent processes.

Provide backup support during EA PTO or when workload requires.

Provide coverage for the Office Services Coordinator during PTO and breaks.

Support special projects and ad hoc assignments.
Qualifications:
Experience & Skills

5-7+ years of executive administrative support in a fast-paced, professional services environment.

Experience in private equity, investment banking, law, or consulting strongly preferred.

Exceptional attention to detail, precision, and follow-through.

Highly proactive and solutions-oriented with strong problem-solving skills.

Tech-savvy; proficient in Microsoft Office Suite. Experience with Adobe, DocuSign, Concur, and Salesforce is a plus.
Education

Bachelor’s degree or equivalent professional experience.
