Operations Administrative Assistant

Location: Mount Horeb, WI 53572 (Full time onsite)
Employment Type: Full-Time - Contract for 6-8 weeks
Department: Operations/Administrative


About the Role

Our client is seeking an organized, proactive problem-solver to serve as the office point person for day-to-day operational needs. This role is essential in ensuring smooth office operations, welcoming visitors, and maintaining a well-stocked and organized environment. Key Responsibilities

  • Visitor Management:
    • Monitor and manage the gate app to screen visitors, meet them at the door, and complete visitor forms as needed.
  • Mail & Invoices:
    • Check and process mail; scan invoices and forward to finance department.
  • Delivery Coordination:
    • Unlock the delivery gate in the morning and lock it in the afternoon.
  • Office Supplies & Ordering:
    • Order fresh fruit and essentials via Instacart for both two locations.
    • Place orders for Amazon and ULINE supplies as needed.
  • Food & Refreshments:
    • Meet lunch deliveries, clean up afterward, and restock coffee and snacks.
  • Conference Room Maintenance:
    • Ensure rooms are tidy and ready for meetings.
  • Vendor Coordination:
    • Meet weekly with Cintas uniform representative and sign for deliveries.
    • Coordinate Culligan water delivery when scheduled.
  • General Office Support:
    • Serve as the go-to person for operational needs and assist with ad hoc tasks.

Qualifications

  • Proficiency in MS Office Suite (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Comfortable with light physical activity (e.g., walking between floors to greet visitors).
