Executive Assistant

Our client is looking for a highly organized and resourceful Executive Assistant to provide dedicated support to a senior leader/co-founder at a hedge fund. This position offers close collaboration with a small, focused investment team and is ideal for someone who enjoys working in a dynamic environment and contributing to the success of a growing firm.

What You'll Do

  • Serve as the primary administrative partner for a co-founder/senior executive.
  • Coordinate complex calendars across multiple time zones and anticipate scheduling needs.
  • Organize meetings, book conference spaces, and manage video conferencing logistics.
  • Arrange domestic and international travel, including flights, accommodations, and ground transportation.
  • Assist with office operations, document organization, and workflow tracking.
  • Provide on-site support for technology and troubleshooting as needed.
  • Collaborate with the New York-based EA to ensure smooth cross-office communication.
  • Maintain professional and confidential interactions with internal teams, investors, and external partners.
  • Help with investor meeting coordination and logistics for offsite events.
  • Support research-related tasks and assist with firm-wide initiatives.
  • Partner with finance for expense tracking, reimbursements, and allocations.

What We're Looking For

  • 1-3+ years of experience supporting senior executives; exposure to finance or start-up environments is a plus.
  • Strong proficiency with Outlook, Zoom, and office technology.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage competing priorities in a fast-paced setting.
  • Professional, approachable, and solutions-oriented mindset.
  • Excellent written and verbal communication skills.

Location

  • Based in San Francisco Bay Area.
  • Role is 5 days onsite, with flexibility.
