Beacon Hill Associates is seeking a Workplace Associate for an onsite, contract opportunity supporting a large corporate office environment. This role serves as the front-facing presence of the workplace and provides comprehensive facilities and workplace support to ensure a best-in-class employee and guest experience.

Day-to-Day Tasks:

  • Create a welcoming, professional, and hospitable environment for employees and guests

  • Handle internal and external communications, including monitoring the main phone line

  • Anticipate client needs through observation and proactive service

  • Support daily workplace operations and assist the Workplace Management team

  • Coordinate and communicate maintenance activities

  • Manage work orders, invoice processing, and internal systems

  • Provide facility-specific support to project management teams

Workplace Experience

  • Deliver authentic, timely, and caring service

  • Serve as a solution provider by directing guests and employees appropriately

  • Continuously monitor office and facility conditions

  • Ensure timely follow-up with stakeholders and teammates

  • Coordinate vendors and service providers

  • Assist with meeting and conference room reservations

Visitor Management

  • Manage visitor registration and access

  • Ensure compliance with visitor access policies

  • Support emergency response procedures when required

Kitchen Management

  • Maintain cleanliness of kitchen and break areas

  • Stock snacks, beverages, and supplies

  • Order kitchen supplies and coordinate equipment repairs

Mail Services

  • Organize incoming and outgoing mail and courier services

  • Manage mail distribution and overnight deliveries

Compliance

  • Administer badge access

  • Support budget requests, reporting, and analysis

  • Follow all HSSE guidelines


Ideal Candidate Profile:

  • Superior customer service skills

  • Associate's degree in facilities management, building management, or business

  • 2+ years of experience in facility or property administration

  • Advanced Excel skills for administrative reporting

  • Ability to remain professional under pressure

  • Strong planning, time management, and multitasking abilities

  • Ability to work independently and collaboratively

  • Proficiency in Microsoft Office

  • Experience with Corrigo or other CMMS/work order systems preferred

  • Strong written and verbal communication skills

  • Excellent organizational skills


Additional Details:

  • Location: Onsite

  • Hours: Monday-Friday, 8:00 AM - 5:00 PM

  • Pay Rate: $23/hour

  • FTE Environment: Large corporate organization
