Position Overview:

A client of ours local to Hockessin, DE is seeking a detail-oriented and highly organized Staff Accountant to join their accounting team with a focus on billing. The ideal candidate will play a critical role in ensuring accurate and timely billing processes, maintaining financial records, and supporting the overall accounting function. This role requires strong analytical skills, excellent attention to detail, and the ability to communicate effectively with both internal and external stakeholders.


Key Responsibilities:

  • Billing & Invoicing:

    • Prepare, review, and issue customer invoices based on contractual terms and project milestones.

    • Ensure billing is accurate, timely, and consistent with client agreements, project scopes, and service delivery.

    • Investigate and resolve discrepancies in billing data, including addressing customer inquiries and discrepancies.

  • Accounts Receivable Support:

    • Maintain accurate records of outstanding invoices and monitor the collection status.

    • Assist with managing and reporting on accounts receivable aging reports.

    • Support the accounting team with cash application and journal entries related to billing transactions.

  • Account Reconciliation:

    • Reconcile billing records and accounts to ensure consistency between billing statements and financial records.

    • Prepare monthly or quarterly reports to track billing performance, aged receivables, and other related financial data.

  • Internal Coordination:

    • Collaborate with the sales, operations, and project management teams to verify billing information, timelines, and client expectations.

    • Assist in the preparation of reports for internal management meetings or audits as needed.

  • Process Improvement:

    • Identify inefficiencies or discrepancies in the billing process and recommend process improvements.

    • Help automate and streamline billing procedures to increase accuracy and efficiency.

  • Compliance & Documentation:

    • Ensure compliance with company policies, as well as relevant accounting standards and regulations.

    • Maintain detailed records and documentation of billing activities for audit and reporting purposes.


Qualifications:

  • Education:

    • Bachelor's degree in Accounting, Finance, or a related field (or equivalent work experience).

  • Experience:

    • 1-3+ years of experience in an accounting role, with a focus on billing, accounts receivable, or related financial functions.

    • Experience with accounting software is preferred.

  • Skills:

    • Strong proficiency in Microsoft Excel and other financial reporting tools.

    • Excellent attention to detail and the ability to manage multiple tasks efficiently.

    • Strong organizational, analytical, and problem-solving skills.

    • Clear and effective communication skills, both written and verbal.

  • Personal Attributes:

    • Ability to work independently and as part of a team.

    • High level of integrity and accountability.

    • Customer-oriented with the ability to handle sensitive billing inquiries with professionalism and diplomacy.
