Office Coordinator

About the Role

Are you confident, organized, and ready to be the go-to person who keeps everything running smoothly? We are a growing personal injury law firm seeking a full-time Office Coordinator to support daily operations and serve as the primary contact for staff needs across all our locations. This is a hands-on, catch-all role where attention to detail, quick thinking, and a can-do attitude are key. Working closely under our Office Manager, you'll ensure the office runs like a well-oiled machine.

Key Responsibilities

  • Act as the primary point of contact for operational issues, resolving them quickly and effectively

  • Provide backup front desk coverage (phones, greeting clients, reception duties)

  • Maintain a clean, organized, and well-stocked office environment

  • Manage vendor relationships and coordinate building services, IT support, and equipment maintenance

  • Schedule and coordinate staff lunches and events

  • Support new hire onboarding, including workspace setup, procedural training, and maintaining staff records/schedules

  • Run essential errands and assist with general administrative tasks as needed

  • Collaborate with leadership and staff to ensure smooth day-to-day operations

  • Always treat clients, staff, and vendors with professionalism, warmth, and respect

Qualifications

  • Previous office or administrative experience required

  • Proficiency in Microsoft Office; ability to learn new systems quickly (Filevine and Lead Docket experience preferred)

  • Excellent communication skills (verbal and written) with strong attention to detail

  • Highly organized with the ability to multitask and prioritize effectively

  • Confident, quick-thinking, and proactive problem solver

  • Strong interpersonal skills with the ability to work both independently and as part of a team

  • Professionalism and discretion when handling confidential information

  • Valid driver's license and reliable transportation required

  • Bilingual skills are a huge plus, but not required
