Our client, a prominent biopharma organization in Conshohocken, is expanding its international presence and is seeking a highly organized Executive Real Estate Assistant to support its Executive Director of Real Estate. This contract hybrid role is ideal for a proactive and detail-oriented individual with strong administrative and project coordination skills, preferably with experience in real estate, leasing, and office operations.

Key Points:

  • Coordinate real estate expansion projects by tracking progress, deadlines, and deliverables across multiple locations.
  • Manage administrative duties such as calendar management, meeting scheduling, report preparation, and correspondence related to real estate transactions.
  • Assist in reviewing contracts, vendor agreements, and real estate documentation to ensure compliance and accuracy.
  • Liaise with landlords, brokers, contractors, and service providers to facilitate seamless project execution.
  • Track project budgets, process invoices, and maintain financial records related to real estate expenditures.
  • Conduct market research to support leasing decisions and manage office setup logistics, including furniture, IT, and security arrangements.

About You:

  • 2+ years of experience as an executive assistant, project coordinator, or in a real estate support role.
  • Familiarity with real estate contracts, vendor agreements, and office operations.
  • Strong organizational and project management skills, with the ability to multitask effectively.
  • Proficient in Microsoft Office Suite, project management tools, and document management systems.
  • Excellent written and verbal communication skills with the ability to manage stakeholder relationships.
  • Ability to handle confidential information professionally; experience in budget tracking is a plus.
  • Willingness to travel domestically and internationally as needed.
