Private Equity firm in Midtown, Manhattan is seeking to hire a Temp to Perm Office Operations Assistant to support investment professionals. This position will start ASAP, require 5 days in office. Hours 8am - 4pm. Temp duration is typically three months before conversion (at client's discretion).
RESPONSIBILITES
- Assist with receptionist duties by greeting vendors and welcoming guests, ensuring a positive first impression of the organization; offer to take coats, bags, umbrellas, and provide general assistance as needed
- Direct guests to the appropriate conference room and notify the appropriate person(s) at SPC of a visitor's arrival
- Ensure conference rooms are kept clean, chairs pushed in and the rooms are ready for guests prior to their arrival
- Keep the reception area neat at all times; restock mint candy dishes, snack trays, and refill tissue boxes and Purell sanitizer dispensers in the reception area, as well as the conference rooms
- Provide coffee and water setup for all meetings
- Order, set-up and break-down catering for meetings
- Prepare coffee as required on a daily basis
- Maintain coffee machines
- Run dishwasher 1-2X daily (as required), keep cabinets stocked with dishes, glassware, etc.
- Assist with inventory management of kitchen snacks and office supplies
- Restock kitchen with snacks and beverages
- Handle incoming and outgoing mail, packages, deliveries, etc.
- Assist with the management of the conference room calendar
- Issue guest passes one day prior using the building's visitor system
- Provide phone coverage support for the Chairman and the Office Manager
- Print and bind presentations
- Other tasks as directed
QUALIFICATIONS
- 1-3+ years of experience in the field or in a related area
- Associates Degree or higher
- Must be proficient with Microsoft Office (Outlook, Word, Excel)
- Strong organizational skills, time management skills and attention to detail
- Strong work ethic and ability to work well under pressure
- Excellent verbal and written communication skills
- Positive attitude, energetic, friendly, patient, and adaptable
- Maintain a professional appearance in accordance with company dress code standards
PAY
- 60K-65K perm base DOE. Discretionary bonus
- Medical, dental, vision. 401K match (6%), PTO: Year One: 10 PTO days, 2 personal, 2 community service days; Year Two: 15 PTO days, 2 personal, 2 community service days, fertility benefits
