Our client, a global private markets investment firm, seeks a Temp to Perm Office Assistant to provide general administrative and facilities support. Hours are 8am to 5pm with a 1-hour lunch; this is an onsite role 5 days/week.

Responsibilities:

  • Assist with the day-to-day operations of the New York Office, ensuring a safe, productive, and professional work environment.
  • Act as a backup for general reception activity, including answering telephones, scheduling, building security, and directing clients and visitors, and any other reception needs.
  • Assist the Office Manager with catering for conference room meeting setup/cleanup as needed
  • Assist with replenishing inventory in pantry cabinets and refrigerators regularly throughout the day
  • Replenish supplies at copy stations as needed
  • Maintain copier/printer machines including repairs, ink and replenish with paper as needed
  • Maintain coffee machines including cleaning, descaling, repairs and coffee supply
  • Report any additional inventory needed for the copier room, pantries, coffee bars and cleaning supplies to the Office Manager and assist with ordering when directed.
  • Maintain health and safety protocol and regulations incompliance with NYS law
  • Work with Office Manager and Receptionist on New Hire Onboarding/Offboarding duties
  • Copy/mail room duties
  • Collaborate with Office Manager on any office maintenance including repairs, cleanings, plants/flowers and general aesthetics
  • Assist Office Manager with any special event planning/execution
  • Other duties as assigned by Office Manager

Requirements:

  • Proven working experience in similar roles in a professional services or hospitality environment for a minimum of 1 year
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Proficient with Microsoft Office Suite
  • Upbeat, positive, extremely professional and welcoming
  • Ability to organize, multitask, prioritize and work under pressure

Compensation/Benefits:

  • Hourly rate: $28/hr
  • Permanent salary: 62.4K base plus paid OT and bonus
