Our client, a global investment firm, is seeking an Executive Administrative Assistant and Office Manager in New York City. The hours are 8:30am-5:30pm, five days in office.
Responsibilities:
* Provide high-level administrative support to the Chief Legal Officer and a few Partners
* Coordinate extensive travel planning, calendar management, and logistics both domestically and internationally
* Serve as liaison with executive assistants across global offices and portfolio companies to align meeting schedules and manage logistics
* Assist with legal administrative tasks such as archiving, retrieving public filings, and preparing Board materials
* Support board meeting planning including coordinating with internal and external stakeholders on materials and agendas
* Assist with onboarding new hires and employee benefits administration
* Manage expense reporting and accounts payable for the office and supported executives
* Lead the setup and buildout of the NYC office space ahead of its January 2026 opening, including coordination with vendors, IT, designers, and property management
* Serve as point of contact for office operations, including facilities, supplies, events, and vendor management
* Maintain confidentiality while managing sensitive and high-level materials
Qualifications:
* 5-10+ years of experience supporting senior executives in small office environments
* Previous experience as an EA to C-level executives or Managing Partners strongly preferred
* Bachelor's degree or equivalent required
* Proficiency in Microsoft Office Suite and comfort with Apple products (iPhone, iPad, MacBook)
Compensation/Benefits:
* Up to $130K total compensation
