Our client, a private equity firm, is seeking an Executive Assistant to support the Industrials team in New York, NY. The hours are 9:00am - 5:30pm with slight flexibility as needed. The position is hybrid with four days in office and work-from-home on Fridays.
Responsibilities:
* Provide administrative support to a team of investment professionals across levels, including Partners and Associates
* Manage complex and ever-changing calendars; schedule and coordinate internal and external meetings
* Coordinate domestic and international travel, including itineraries, car bookings, and private plane reservations
* Track travel details and input bookings into the central system
* Submit accurate and timely expense reports using Concur for both corporate Amex and personal reimbursements
* Maintain a high level of responsiveness and discretion while managing communications and follow-ups
* Coordinate and manage team lunch and dinner reservations
* Assist in logistics for mid-year and year-end performance reviews
* Support special projects and internal/external events, including venue selection, menu planning, contracts, and day-of coordination
* Assist with planning for portfolio company board meetings and dinners (e.g., room blocks, IT setup, dinner reservations)
* Prepare meeting materials and ensure timely distribution
* Assist with firmwide administrative duties, including rolling calls and signature routing
Qualifications:
* 5+ years of Executive Assistant experience, with at least 1-2+ years in a finance setting
* Proven experience supporting teams with complex calendar, travel, and expense needs
* Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
* Bachelor's degree required
* Collaborative, proactive, and capable of working effectively with other assistants
* Strong communication skills, attention to detail, and ability to maintain confidentiality
Compensation/Benefits:
* Up to $120-130K plus bonus
