Healthcare organization located in Midtown Manhattan is seeking to hire a Temporary to Permanent Dues & Membership Representative. This role will require 5 days on site. Hours are 9am-5pm with 1 hour of unpaid lunch (35 hours).

Responsibilities:

  • Maintain all membership database files, including the creation and updating of collective bargaining unit, mailing contact information, action & event participation and assessments. Process seniority lists, new hires, terminations, data collected by field staff, and leaves of absence information.
  • Accept, process, and assign membership to applicants. Determine correct dues rate, region, and category for all applicants.
  • Accurately process payroll deduction lists of dues payments received from collective bargaining unit and voluntary facilities according to established procedures. Determine deactivation of membership for those persons for which no deduction was received according to established policy. Balance payroll monies received against total deductions processed and follows-up with the facility regarding any discrepancy.
  • Representatives have daily contact with members and are required to accurately and professionally represent the association and its policies. This requires a complete understanding of our membership policies and the capability to clearly communicate it to our members in both a verbal and written context.
  • Accurately compose individualized correspondence in response to inquiries from members, as well as from verbal instructions or notes from the manager or department director.
  • Review outgoing correspondence and sign and release routine letters or has manager review special correspondence prior to mailing. Prepare routine transmittals of payroll deduction cards, requests for seniority lists, and routine form letters to facilities, members, non-members, and staff.
  • Maintain departmental records of correspondence.
  • Accurately prepare correspondence to collective bargaining unit non-members and respective facilities, as approved by the Manager, Dues & Membership, according to established procedures.
  • Maintain current knowledge of association's 2.02/delinquency procedures and legal requirements.
  • Communicate both orally and written, with collective bargaining unit representatives and staff, providing rosters and information as requested or needed.
  • Maintain ledgers of delinquency accounts for collective bargaining unit non-members on spreadsheet.
  • Maintain accurate and complete files of 2.02/delinquency accounts.
  • Process refunds of duplicate dues/agency shop monies as appropriate and approved by the Manager, Dues & Membership, according to established procedures.
  • Service members, take clear and concise messages, and transfer calls as appropriate in a proficient and professional manner.
  • Handle calls to and from prospective members, facilities, and staff in a proficient and professional manner and as necessary.
  • Maintain an organized and concise filing system in a timely fashion, removing unnecessary materials according to departmental and archival guidelines.
  • Prepare all mailings at the direction of the manager and/or department director according to established procedures. Maintain records of mailings.
  • Assist with Convention registration as assigned by Manager (travel is required).
  • Accounts Receivable duties will include, but are not limited to, the processing, verification, and batch control of incoming cash, lock box, and credit card transactions.
  • Maintain current knowledge of overall association office policies, procedures, and practices effecting all departmental and association activities.
  • Perform other related activities, which may be required in advancing the mission, purposes, and interests of the association.

Qualifications:

  • Degree required
  • 2+ years prior administrative experience preferably out of education
  • Experience handling dues and membership in a union setting preferred
  • Experience in Salesforce preferred
  • Proficient in Excel
  • Must have excellent verbal and written communications skills
  • Attention to detail and outstanding organization skills
  • Strong interpersonal skills
  • Customer service mentality
  • Versatility to handle varied workload and competing demands

Compensation:

  • Union Scale of $46,100.00 - $59,479.00, depending upon education, location, and experience levels
  • Fully paid benefits
