Our client, a leading privately held global firm, is seeking a Temporary to Permanent Receptionist/Executive Assistant for their Midtown East office. The role requires 5 days in the office from 8am-6pm with flexibility as needed. The role starts ASAP and is a great opportunity for someone looking to join a rapidly growing company.

Key Responsibilities:

Executive Support & Administration

  • Provide calendar management and scheduling for various senior team members (excluding the founder), particularly those without EA support.
  • Coordinate travel, car service, reservations, and catering needs.
  • Manage interview scheduling and logistical support for recruiting efforts.
  • Assist with general administrative needs across the office.

Front Office Coordination

  • Act as the welcoming face of the firm at the front desk, located directly off the elevator.
  • Greet visitors, offer refreshments, and create a professional first impression.
  • Set up breakfast and materials ahead of Monday firm-wide meetings at 8:30 AM.
  • Ensure common areas remain tidy and fully stocked with necessary supplies.

Firmwide Support

  • Pull together agendas and documents for weekly firm meetings; monitor emails over the weekend for any last-minute updates.
  • Order office supplies, food, and manage other small facilities or operations tasks as needed.
  • Partner with Office Manager for logistics and coordination, including package handling.

What We're Looking For:

Qualifications & Experience

  • Previous experience in a professional services, financial services, legal firm, or luxury hospitality environment is strongly preferred.
  • Bachelor's degree preferred.
  • Strong command of Microsoft Office Suite; comfortable learning internal systems.
  • Experience supporting multiple team members in a fast-paced, high-expectation environment.

Compensation:

  • DOE up to 120k, hourly in line + OT + Discretionary bonus when perm
