Parts Coordinator

Job Description: The Parts Coordinator plays a crucial role in supporting the procurement process and involves managing the purchasing of parts and materials necessary for timely operations. This role is also responsible for vendor management, inventory accuracy, and customer education/support.

Hours: 7:30 am - 4 PM, Monday - Friday

Key Responsibilities:

o Take inventory weekly

o Place stock order weekly

o Source diagrams and parts lists from equipment manufactures

o Order parts requisitioned by techs

o Coordinate and execute the purchasing process for parts and materials based on operational needs.

o Develop and maintain relationships with suppliers to ensure quality, pricing, and timely delivery of products.

o Monitor inventory levels and establish reorder points to maintain stock availability while minimizing excess inventory.

o Address any issues related to procurement, such as delays, quality concerns, or supplier disputes.

o Provide recommendations for alternative parts or suppliers when necessary.

o Research new product requests and write orders

o Establish and foster positive and professional relationships with customers

o Sell Products, answer questions, and provide accurate information

o Assist outside sales staff with technical, inventory, and pricing information

o Coordinate with delivery drivers for daily delivery and pickup

o Pull and fill order from stock

o Source, shop, and order emergency nonstock items from local vendors

o Communicate order status of special orders items with all customers and repair shop

o Keeps orderly records of all repair orders, invoices, warranties, and special-order parts

o Other duties as assigned by management

Qualifications:

o Proven experience in purchasing or procurement in an industrial or manufacturing environment

o Strong negotiation and communication skills

o Proficient in all Microsoft products

o Ability to work independently and in a team-oriented environment

Helpful Past Experience/Background:

o Parts purchasing within industrial services or contracting environment

o Previous roles such as parts house coordinator, service dispatcher, contracting project coordinator, etc.
