Our client, a Massachusetts university with a location in Worcester, is seeking an administrative assistant to join the team. The Temporary Disability Assistant will support the disability review process by ensuring the accuracy and completeness of disability supplements and clinical information. This role involves handling HIPAA-sensitive information, coordinating with clinical sources, and providing customer service. The position requires strong attention to detail, the ability to make complex privacy decisions, and effective communication with internal and external stakeholders. This is a full-time, hybrid role paying $27 per hour. Qualified and interested individuals are encouraged to apply today for immediate consideration.

Major Responsibilities:

  • Review disability supplements for accuracy and completeness, escalating priority cases to the SPMP.
  • Make decisions about privacy matters regarding client cases, ensuring compliance with HIPAA regulations.
  • Request and verify clinical information from treating sources, ensuring all information meets legal requirements.
  • Communicate with agencies to resolve incomplete cases and consult with SPMP for further action.
  • Handle telephone contact with clinical sources to ensure timely receipt of information.
  • Review external databases to identify cases that can be completed quickly.
  • Distribute new cases to appropriate staff and manage returned mail for impact on cases.
  • Coordinate transportation for clients' consultative examinations and report on any issues.
  • Provide customer service by answering incoming calls and offering telephonic support.
  • Make decisions regarding the rescheduling of clinical evaluations and provide feedback to SPMP.

Required Qualifications:

  • Associate's degree in business or a related field, or equivalent experience.
  • 3-5 years of office experience, preferably in a medical setting.
  • Knowledge of HIPAA laws and regulations.
  • Proficiency in Microsoft Word, Access, Excel, and Outlook.
  • Ability to interpret complex HIPAA regulations and educate clients/agencies.
  • Strong phone customer service and problem-solving skills.
  • Ability to handle confidential information with discretion.
