Our client, a high end construction firm headquartered in Long Island City, Queens, is seeks to hire a dynamic Temp to Perm Administrative Assistant to its Founder & CEO. This role will be fully onsite 5 days/week. Hours are Monday - Friday 8am-6pm with the flexibility as needed.

DUTIES & RESPONSIBILITIES

  • Under the guidance of the EA, organize and plan complex domestic and international travel arrangements for the Office of the CEO, as well as daily personal travel
  • Coordinate CEO's daily work and personal activities including appointments, meetings and meals
  • Assist with all aspects of the CEO's personal family communications, residences, travel, personal vehicles, and appointments, as requested
  • Ensure immaculate record-keeping of CEO's files, including processing expense reports
  • Maintain tracking list for all active items for the Office of the CEO
  • Provide a bridge for smooth communication between the Office of the CEO, internal departments, and external parties
  • Track incoming emails and other correspondence of the CEO
  • Collect and disseminate appropriate materials and agendas for meetings and events
  • Additional administrative duties as assigned

PREFERRED QUALIFICATIONS

  • Minimum of 3 years of experience as an Administrative Assistant, ideally having supported a C-Suite or similarly positioned Executive
  • Advanced MS Office skills (general "tech savviness" is a huge plus!)
  • Excellent written and oral communication
  • Adaptability within an ever-changing environment and priorities
  • Adept at operating with the utmost discretion and confidentiality
  • Strong attention to detail and meticulous record keeping and organization skills
  • Flexibility in scheduling and availability after hours in a variety of time zones, including providing sporadic remote support outside of business hours, as needed
  • Comfortable exercising quick and reasoned judgement in a high-stakes environment and in nuanced situations, often with incomplete information
  • Ability to analyze complex situations thoroughly, anticipate problems, and generate potential solutions
  • Must possess strong work ethic, high personal standards, and a commitment to professional responsibilities

Compensation:

  • DOE 85k-100k + discretionary bonus once perm
