Our client, located in Midtown East, Manhattan, is seeking a temp-to-perm Administrative Assistant to support their U.S. Corporate Access and Sales teams in driving client engagement and business growth. This role requires a highly organized and proactive individual responsible for a range of administrative and logistical duties, including managing complex calendars, coordinating schedules, and booking travel while being mindful of time zones. Additional responsibilities include maintaining accurate CRM records in Datazoic, attending meetings, and organizing key initiatives such as Non-Deal Roadshows (NDRs), corporate access events, and presentations. This is a hands-on position with direct involvement in high-impact projects aimed at enhancing the firm's client experience. The schedule is hybrid, with four days in the office and one remote day, working from 7:30am-4:30pm. The base salary ranges from $65,000 to $75,000.
Responsibilities:
- Organize road shows and video calls for both corporate clients and noncorporate clients, including all related bookings and events.
- Conduct shareholder analysis to support investor targeting.
- Prepare and deliver timely, high-quality feedback following investor meetings.
- Logistical support for research events, deal and non-deal roadshows, and IPOs.
- Maintain and update institutional and hedge fund data in internal databases.
- Support the production of the monthly board pack, ensuring accurate logging of corporate access activities.
- Assist in the coordination and execution of US Equity Sales mandates.
- Ensure timely and accurate updates of client and market data in Datazoic.
Qualifications:
- 1-2 years of experience in an administrative position.
- Strong verbal and written communication skills.
- Collaborative team player, comfortable working with colleagues at all levels.
- Proactive problem solver who thrives under pressure.
- High attention to detail, with a focus on quality and accuracy.
- Responsive, able to prioritize key tasks and meet strict deadlines.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Experience of a corporate environment (financial services preferred).
