Our client, a reputable non-profit in Philadelphia, is seeking their next Administrative Associate to join their team for a short-term project. If you are a strong communicator, seeking an opportunity to develop your administrative skills, and able to start as soon as possible, this position is for you! Please see below for more details:

About You:

  • Minimum 1 year of administrative experience, with a bachelor's degree or equivalent; proven ability to support high-level executives or board members, including coordinating board meetings and handling sensitive information with discretion.
  • Excellent written, verbal, and interpersonal communication skills; strong attention to detail and sound judgment when managing confidential materials.
  • Skilled in organization, time management, and critical thinking; self-motivated with the ability to adapt to shifting priorities and meet deadlines independently or as part of a team.
  • Proficient in Microsoft Office Suite (Excel, Outlook, Teams) and virtual meeting platforms; able to learn department-specific software quickly.
  • Experience with calendaring, event planning, and project tracking; demonstrates a customer service mindset and a commitment to delivering high-quality support in a fast-paced environment.

About the Job:

  • Collaborates closely with the team on board processes, administrative tasks, event planning, and document creation.
  • Handles diverse sensitive matters, interacts with internal staff, and external vendors.
  • Administrative support for board-related planning and operations, managing board demands, organizing schedules, drafting correspondence.
  • Maintains meeting agendas, tracks priorities, takes meeting notes, assists with document proofreading/editing, and manages confidential files.
  • Researches vendors, processes contracts, develops event materials, and assists with trip administration, including logistics and issue resolution.
  • Offers support to team members, contributes to special projects, and ensures project execution success.

Our client is seeking a detail-oriented and committed individual to join their team on a temporary basis. The position will operate on a hybrid model, requiring onsite presence on Tuesdays and Wednesdays each week. Additionally, this position offers a pay rate of up to $30/hr based on experience.
