Our client, an investment management firm, is seeking an Executive Assistant to support their Investor Relations team in New York, NY. The hours are expected to be 9:00AM - 5:00PM with a one-hour lunch, five days per week in office.
Responsibilities:
* Provide administrative support to the Investor Relations team
* Manage complex calendars and schedule internal and external meetings
* Coordinate extensive domestic and international travel including multi-leg itineraries, visa processing, flights, hotels, cars, and dining
* Prepare detailed travel itineraries and anticipate last-minute changes
* Greet guests and assist with meeting preparation, including food and beverage setup and cleanup
* Submit and track monthly expense reports in a timely manner
* Oversee planning and logistics for the firm's annual advisory board and investor meetings
* Enter meeting notes and maintain records in CRM system (DealCloud)
* Maintain contact lists and assist with preparation of meeting materials including agendas and presentations
* Prioritize tasks and manage multiple deadlines with minimal supervision
* Support team with additional projects and administrative duties as needed
Qualifications:
* Bachelor's Degree required
* 3-7+ years of experience supporting client-facing professionals in finance, preferably in Investor Relations
* Strong travel booking experience, with comfort managing high-volume, fast-changing itineraries
* Proficient in Microsoft Office Suite and CRM systems (DealCloud experience a plus)
* Strong attention to detail, organizational skills, and communication skills
Compensation/Benefits:
* Up to $95,000 - $100,000 base salary, plus bonus and paid overtime
