Global private equity firm is seeking to hire a TTP Administrative Receptionist based in their Miami, Florida office. Hours are 8:30am - 5:30pm daily, with some flexibility in the event there is an earlier or later meeting (paid OT). This position requires Monday-Friday on-site and will report to the Office Manager. Ideal candidate has a can-do attitude, positive energy, and is committed to providing high-touch service.
Responsibilities:
- Serve as the face of the office by welcoming clients/guests as they arrive at the office, escort them into the boardroom and advise office member of their arrival, bring them drinks (coffee/tea/water)
- Provide first-line support for office-related needs; manage boardroom(s) availability and VCC connections
- Distribute all incoming mail/couriers; prepare all outgoing mail/couriers
- Keep stock room, print area, kitchen, etc. tidy and organized
- Sort data and prepare expense reports for Office Manager and Associates; correlate expenses with receipts, allocate costs to various projects, portfolio companies, etc., review with each individual and make corrections as needed
- Arrange domestic/international flights, hotel, car service, etc. for Associates; make adjustments accordingly
- Manage calendars for Associates; enter travel data, coordinate and setup internal/external meetings including video conferencing, catering etc. make adjustments accordingly
- Printing and binding presentation materials
- Other data entry - e.g. preparing/proofing presentations
- Provide general office support and backup duties when required
Qualifications:
- Minimum of 2-3 years of related reception and administrative support experience; financial services knowledge considered an asset
- Post-secondary education in Office Administration considered an asset
- Ability to work under tight deadlines, well-organized with attention to detail and an ability to deal with multiple priorities
- Excellent communication skills and contribute to a positive work environment
- High degree of proficiency with computer software programs including MS Office (Word, Excel, PowerPoint and Outlook).
Compensation/Benefits:
- Up to 70K when perm (OT eligible + Discretionary Bonus)
- Fully paid benefits, PTO, FSA, 401K plan
- Daily lunch stipend and gym on-site
