Our client, a leading global Real Estate firm headquartered in Rockefeller Center, is looking for a temp to perm Office Services Administrative Assistant. This role starts ASAP with an estimated temp trial period of 3 months. This role is fully onsite Monday- Friday. Hours are 9am-5pm, but this person should be flexible to stay late or come early as needed. Annual base salary is 65K; hourly pay rate while temping in line. (We can't post this as the search is confidential).

Key Responsibilities:

  • Maintaining files.
  • Monitoring inbox for urgent requests.
  • Vendor coordination.
  • Monitoring the office for any maintenance tasks - for example, taking action if there is a scuff or chipped paint (they paint almost weekly), noticing if there is a spot on the glass or if there is dust accumulating in a hard to reach area - looping in necessary teams to resolve.
  • Helping with new hire onboarding - for example, working out seating charts/ keeping seating charts current, sending out a weekly email to communicate to all the parties to get things set up for new hires.
  • Helping with office events - planning, reviewing catering orders order, helping with moves, checking events space.
  • Uphold high standards of discretion and judgment while interfacing with all levels of the firm from vendors to senior leadership.
  • Collaborate with internal teams - for example, working with the food and beverage department for an event.

Qualifications:

  • Exceptional communication skills; able to speak eloquently and represent the brand's high service standards.
  • This person needs to be a people-person! This is a high-visibility role so we need someone who is genuinely excited to work with others and be a team player.
  • Ability to exercise sound judgment, read a room, and adapt to the culture and expectations of senior executives.
  • Comfortable multitasking in a fast-paced, high-volume setting.
  • Detail-oriented and proactive; takes pride in delivering exceptional service.
  • An interest in planning events or prior events experience is a huge plus!
  • Bachelor's degree required.
