Our client, a well-established construction firm based in Southeastern Massachusetts, is seeking a highly organized, personable, and proactive Office Administrator who will play a vital role in supporting daily operations in a dynamic and team-oriented environment. This is a fully on-site position based in Mashpee, MA, with a schedule of Monday-Wednesday and Friday from 8:00 AM to 4:30 PM, and Thursdays from 7:00 AM to 4:30 PM to accommodate a weekly team meeting. The role offers a competitive hourly rate of $24.
Key Responsibilities
Customer Service & Reception
- Serve as the first point of contact, representing the company professionally in all communications
- Answer phones, greet visitors, and handle general inquiries
- Manage voicemails and mail; take accurate phone notes and report concerns as needed
- Identify and escalate operational trends, issues, or opportunities to management
Sales Support
- Maintain and update sales tracking spreadsheets
- Generate weekly reports on sales rep activities and lead sources
- Track proposals and monitor inbound sales activity
General Office Administration
- Keep front office and kitchen areas tidy and stocked
- Manage office and kitchen supplies inventory
- Coordinate equipment maintenance and support
- Distribute mail and respond promptly to email and phone inquiries
- Provide administrative support to the Controller as needed
Accounts Payable (10-15%)
- Code and process invoices accurately in line with budget and project requirements
- Obtain required approvals from project managers
- Enter expenses and invoices promptly-within 24 hours of receipt
Uniforms & Clothing Management
- Oversee uniform inventory and distribution in line with company policy
- Maintain budget compliance for clothing and gear
- Track and manage uniform supplies
Mobile Devices & Office Phones
- Maintain inventory and track employee use of mobile devices
- Coordinate employee sign-off for issued equipment
- Research and recommend new communication solutions as needed
Employee Events & Recognition
- Track employee milestones, birthdays, and key events
- Maintain and update the company calendar
- Plan and organize team appreciation events and outings

- Comfortable with administrative tasks, event coordination, and basic accounting processes
