Our client, a global investment management firm, is seeking to bring on a Senior Administrative Assistant to Portfolio Managers in Global Healthcare. They are looking for an individual who has strong organization and communication skills, who thrives in a high-volume environment where proactivity is valued. The hours are 9:00am-5:30pm with light after-hours availability for travel changes. This role is hybrid with 3 days in office in Manhattan (Tuesday - Thursday) and 2 days remote.
Responsibilities:
* Provide high-level administrative support to four Portfolio Managers on the Global Healthcare team, including complex calendar and travel management
* Coordinate extensive domestic and international travel arrangements, itineraries, and logistics (time zones, visas, currencies, mobile planning, etc.)
* Manage expense reporting through Concur and liaise with Finance to ensure timely reimbursement
* Serve as liaison with external partners including corporate access teams and equity sales professionals to coordinate meetings and conferences
* Prepare materials for meetings, manage correspondence, and ensure seamless information flow across the team
* Streamline workflows, anticipate needs, and proactively problem-solve to improve team efficiency
Job Requirements:
* 7-10+ years of administrative support experience within finance, ideally on the buy- or sell-side
* Prior experience supporting Portfolio Managers or senior investment professionals strongly preferred
* Exceptional communication and organizational skills with sharp attention to detail
* Comfortable in a fast-paced, high-volume environment with shifting priorities
* Able to build strong relationships internally and externally with professionalism and poise
* Tech-savvy with proficiency in Microsoft Office Suite and experience with Concur a plus
* Thick-skinned, proactive, and resilient - able to anticipate needs and maintain composure under pressure

* Up to $125K base salary + paid overtime + annual bonus
