Out client, a hedge fund located in the Meatpacking District, is seeking a highly organized, proactive, and self-motivated Temporary to Permanent Administrative Assistant to support their Investor Relations team. The successful candidate will play a key role in coordinating day-to-day operations to support the IR team in seamless and high-touch communication between the company and its investors. The role will require strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and other office productivity tools. Hours are 7:30am-5/5:30pm with flexibility for overtime. This is a fully onsite role.
Responsibilities:
 
- Ensure the timely processing of documentation related to investor transactions and communications.
- Maintain and update investor contact databases, ensuring accurate and timely records.
- Assistance with tracking and compiling feedback from investors and analysts, and preparing summaries.
- Assistance in the preparation and distribution of investor communications and monthly materials.
- Assist with gathering, entering, and analyzing data for IR meetings.
- Execute follow-ups for prospects and clients, reminding internal team members when to send reminder emails and provide context surrounding follow-up notes.
- Provide general support to the Investor Relations team, including scheduling meetings, preparing agendas, and maintaining relevant files and documents.
Requirements:
- Sufficiency in using and maintaining data in a CRM platform.
- Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and other office productivity tools.
- Previous administrative or support experience in investor relations, data entry or corporate communications at a financial firm is required.
- Excellent written and verbal communication skills, with the ability to craft clear and professional messages.
- Strong organizational and multitasking abilities, with attention to detail.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills with the ability to collaborate effectively with internal teams. Capacity to schedule meetings between varying global time zones.
- Ability to thrive in a fast-paced environment and manage competing priorities.
Compensation:
- Up to 120K plus discretionary bonus and excellent benefits
