This onsite, full-time administrative role is located in Cambridge, with a standard 40-hour workweek. The position runs for 3 months (11/17-2/13) at a major university’s government school, supporting a high-profile faculty member. Compensation is $60/hour per requires someone highly organized, professional, and comfortable handling complex, time-sensitive tasks.
Job Responsibilities:
- Manage an intricate global calendar and coordinate high-level meetings across time zones.
- Arrange domestic and international travel, including flights, hotels, visas, and required documentation.
- Maintain a high-volume multilingual inbox, ensuring timely responses and prioritization.
- Draft, edit, and manage correspondence, including invitations, letters, and sensitive communications.
- Support relationships with key donors and high-level contacts.
- Assist with course-related tasks such as editing syllabi, updating course pages, coordinating office hours, and ensuring materials are recorded and accessible.
- Serve as the public-facing representative for visitors, email inquiries, and phone calls.
- Process financial transactions through Concur, including reimbursements and vendor invoices.
- Contribute to event logistics, proposal editing, presentations, and other project support.
- Coordinate with leadership to prioritize meetings, conferences, and team scheduling.
Candidate Qualifications:
- Proven experience managing complex calendars and international travel arrangements.
- Strong written and verbal communication skills with the ability to draft sensitive correspondence.
- High attention to detail and ability to manage a high-volume inbox.
- Professionalism when interacting with donors, faculty, and senior stakeholders.
- Experience supporting academic courses or programs is a plus.
- Ability to work onsite full-time and manage time-sensitive priorities.
