This 3+ month Office Manager & Receptionist role is fully onsite at 360 2nd Ave, Waltham, MA, supporting a confidential technology company specializing in water analytics and related solutions. The position runs Monday-Friday, 8:30 AM-5:00 PM, offers $21-23/hr, and provides free onsite parking. The Office Manager & Receptionist will serve as the first point of contact for all visitors while managing office operations and supporting special projects that strengthen the Waltham headquarters community.
Job Responsibilities
Greet visitors and employees with a professional, welcoming demeanor and provide building information as needed.
Manage office vendors, supplies, meeting resources, and community event materials.
Maintain reception and shared spaces to ensure a clean, organized, and professional environment.
Develop office procedures and serve as an information resource for employees and guests.
Oversee security badging, visitor logs, and access control in partnership with building management.
Manage multi-line phone system, staff directory, and call transfers.
Lead emergency response protocols and coordinate building drills and trainings.
Sort and distribute incoming mail and packages.
Provide administrative support to the Executive Admin team and other departments, including scheduling, filing, and conference room coordination.
Support quarterly office social events and co-lead weekly meetings with the Executive Admin team.
Candidate Qualifications
High school diploma or equivalent; hospitality/customer service training a plus.
1-3+ years in a corporate front desk, office support, or customer-facing role (service industry experience considered).
Strong communication, organizational, and multitasking skills with high attention to detail.
Proficiency with Microsoft Office, email, and digital scheduling tools.
Experience with office management, facilities coordination, or security/access control preferred.
Reliable, proactive, positive, and able to manage responsibilities independently.
