This onsite Administrative Coordinator role is based at a dental/medical academic institution in Boston, MA. The position runs for 3 months (ideally 1/5-4/4), offers 35 hours per week, and includes a $33/hour. The coordinator will provide high-level administrative, event, and operational support within a busy academic department.
Job Responsibilities:
- Coordinate events, including payments, reservations, visitor travel, schedules, day-of logistics, certificates, facilities requests, and communications.
- Manage the department calendar, schedule meetings, book rooms, notify security, and handle rescheduling needs.
- Support financial tasks such as procurement, faculty purchasing, and expense reimbursement through internal systems.
- Handle general administrative duties including reimbursements, FedEx shipments, parking requests, access coordination, Amazon ordering, meeting notes, and assistance for faculty, staff, visitors, residents, and lab members.
- Uphold institutional values and assist with additional duties as needed.
Candidate Qualifications:
- Bachelor's degree or equivalent combination of education and experience.
- Three years of administrative experience, with strong organizational skills and the ability to manage competing priorities.
- Impeccable attention to detail and proficiency with standard office software, especially Excel.
- Ability to work independently, solve problems proactively, and demonstrate excellent communication skills.
