We are seeking an experienced and highly organized Travel Assistant/Concierge to work on part of a support team supporting a high profile CEO in a highly visible role. This role requires exceptional attention to detail, discretion, and the ability to thrive in a fast-paced environment where priorities shift frequently. The ideal candidate will have a proven track record of coordinating luxury travel and accommodations across multiple time zones.

Key Responsibilities

  • Arrange private jet and helicopter travel, ensuring seamless itineraries and compliance with client preferences.
  • Book high-end hotels, private villas, and exclusive home rentals tailored to executive's needs.
  • Handle ground transportation, catering, and special requests in a fast-paced setting with quick turnaround needed.
  • Operate effectively across global time zones, providing support as schedules change in the moment.
  • Maintain strict confidentiality when handling sensitive information and working with high-profile individuals.
  • Build and maintain relationships with aviation companies, luxury hospitality providers, and concierge services.
  • Anticipate and resolve travel-related issues promptly, ensuring minimal disruption to client schedules.
  • Work as part of a close-knit support team; demonstrate team orientation, collaboration and a solutions-oriented approach.

Qualifications

  • Experience: Minimum 3-5 years in luxury travel coordination, private aviation, or high-end concierge services.
  • Skills:
    • Strong organizational and multitasking abilities
    • Excellent communication and negotiation skills
    • Proficiency in travel booking platforms and Microsoft Office Suite
  • Attributes:
    • Highly discreet and trustworthy
    • Flexible and adaptable to changing priorities
    • Ability to work under pressure and meet tight deadlines

Requirements:

  • Familiarity with private aviation protocols and luxury hospitality standards.
  • Experience working with high-net-worth individuals or in entertainment/media sectors.
  • Must be comfortable traveling up to 200 days/year with NYC being your base.
