Beacon Hill has partnered with a growing organization in downtown Chicago in hiring a part-time Executive Assistant to start immediately. The Executive Assistant provides high-level administrative support to the Executive Director and plays a key role in donor database management and event coordination. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role is 27 hours per week.

Key Responsibilities

  • Executive Support
    • Manage the Executive Director's calendar, schedule meetings, and coordinate travel arrangements.
    • Prepare correspondence, reports, and presentations as needed.
    • Serve as a liaison between the Executive Director and internal/external stakeholders.
  • Donor Database Management
    • Maintain and update donor records in the organization's CRM/database.
    • Process donations and generate acknowledgment letters.
    • Produce donor reports and assist with data analysis for fundraising campaigns.
  • Event Planning
    • Assist in planning and executing donor events, fundraisers, and special programs.
    • Coordinate logistics including venue, catering, invitations, and guest lists.
    • Support on-site event management and post-event follow-up.
  • General Administrative Duties
    • Handle incoming calls and emails, ensuring timely and professional responses.
    • Organize and maintain electronic and physical files.
    • Perform other duties as assigned to support organizational goals.

Qualifications

  • 5+ years of proven experience as an Executive Assistant
  • Bachelor's Degree is required.
  • Familiarity with donor management systems (e.g., Salesforce, Raiser's Edge, or similar).
  • Strong event planning and project management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and Google Workspace.
  • Ability to maintain confidentiality and exercise discretion.
  • Highly organized, detail-oriented, and able to work independently.
