Our client, one of the largest non-profits in Illinois is looking for an Administrative Coordinator. This role will support the Facilities Team across multiple offices within the Chicagoland area. We are looking for a critical thinker who has strong attention to detail and ability to work with a variety of personalities.
Responsibilities:
- Partner with the Administrative Manager to coordinate and execute the Request for Proposal (RFP) process, including drafting RFPs, reviewing submissions, and preparing side-by-side comparisons to support informed decision-making.
- Review and analyze vendor proposals and contracts, evaluating pricing, service levels, and alignment with organizational goals.
- Serve as a point of contact for vendors and community partners, delivering excellent customer service and ensuring timely issue resolution.
- Prepare clear, detailed status reports outlining research, findings, and recommendations for assigned master contracts.
- Provide day-to-day administrative support to the Executive Director and Assistant Executive Director, including calendar coordination and responding to routine emails, calls, and information requests.
- Support Building and Property Managers with vendor invoice review, processing, and resolution of billing discrepancies.
- Deliver technical and user support for the events team, working closely with Conference Center, Technology, and Building teams to ensure smooth and successful meetings and events.
Qualifications:
- Bachelor's degree or equivalent experience.
- At least 2 years of professional experience including some experience working in or supporting contract administration, real estate, property management, procurement, or events management.
- Strong analytical skills with demonstrated ability to evaluate vendor proposals and negotiate favorable terms.
- Proficiency in Microsoft Office Suite; ability to learn internal systems.
- Exceptional and demonstrated organizational, time management, and critical thinking skills.
- Ability to manage multiple priorities and deliver under tight deadlines.
