Our client, a private equity firm headquartered in Malaysia with an office in Hudson Yards, NYC, is seeking to hire a highly capable and proactive Temp-to-Perm Administrative Assistant to support their New York office. This is a newly created role-the firm has never had an administrative professional in this office before-so this individual will play a key role in helping to build structure, processes, and efficiencies from the ground up.

The role will primarily support 3-4 individuals based in New York City with all things administrative. This is an excellent opportunity for someone who enjoys taking ownership, bringing ideas to the table, and helping an office run smoothly in a fast-paced, professional environment.

Responsibilities

  • Provide day-to-day administrative support to senior leadership, including heavy calendar management, scheduling, travel coordination, and expense reporting
  • Act as a central point of coordination for the New York office, helping to establish and maintain administrative processes and best practices
  • Proactively anticipate needs and recommend efficiencies or improvements to workflows
  • Assist with meeting preparation, materials, and follow-up
  • Handle ad hoc requests as they arise-no task is too big or too small (this could range from coordinating logistics to occasionally picking up lunch)
  • Maintain a high level of discretion and professionalism at all times

Ideal Profile

  • Prior experience supporting executives in a Private Equity or similar fast-paced financial services environment
  • Enough professional experience to operate autonomously, identify gaps, and confidently advise leadership on administrative needs
  • Highly organized, detail-oriented, and able to juggle multiple priorities with ease
  • Comfortable working in an office that has not previously had administrative support and helping to define the role
  • Personable, resilient, and easygoing-someone with a sense of humor who can let things roll off their back and build strong working relationships
  • Team-oriented with a "no task too big or too small" mindset

Compensation/Benefits:
