Our client, a leading merchant banking firm located in Manhattan, is looking for a TTP Receptionist to join their team. This position will operate on an in-office schedule, Monday through Friday, between the hours of 9:30 AM - 6:00 PM with one 30-minute lunch break. Base salary is in the 75-80K base range DOE with excellent benefits.
Responsibilities:
- Welcome visiting employees and direct them to assigned desks/offices
- Assist with software for visiting employees
- Keep reception area clean and organized; order reception/catering supplies
- Greet and seat guests in conference rooms; provide refreshments and assist with catering setup
- Answer incoming calls, screen appropriately, and relay messages; assist with rollover phone coverage
- Maintain security system by entering guest information for scheduled meetings
- Sign for packages/mail and distribute to recipients
- Ensure conference rooms and refreshment pantry are stocked and organized; complete AM/PM checklists
- Manage catering requests for lunch meetings; coordinate with vendors and facilities for access and COIs
- Execute daily office lunch program (e.g., GrubHub): select restaurants, oversee platform, liaise with drivers, troubleshoot issues
- Assist Executive and Administrative Assistants with copying, scanning, filing
- Help prepare correspondence, presentations, and marketing materials (e.g., watermarking, binding)
- Provide limited back-up coverage for administrative assistants as needed
Experience:
- 1+ years in receptionist or administrative support
- Financial services industry experience and Bachelor's degree preferred
- Strong working knowledge of Microsoft Office programs (Outlook, Excel, PowerPoint and Word) and ability to learn to use new software products as needed
- Excellent organizational, problem-solving, and communication skills including ability to prioritize and coordinate multiple tasks while being flexible with time
- Previous experience assisting multiple team members preferred
- Regularly required to travel from floor to floor via internal staircase
- Must be able to lift 30 pounds
