Our client is a higher education institution seeking an onsite Office Manager to support student counseling and wellness services through 3/6/26. This role oversees daily administrative operations, clinician support, confidential recordkeeping, and departmental coordination in a student-facing environment. The position is onsite in Wellesley, Monday-Friday from 8:30 AM-4:30 PM with a one-hour unpaid lunch, paying $28/hr.

Job Responsibilities

  • Serve as the initial point of contact for students seeking counseling and wellness services
  • Manage daily administrative operations, recordkeeping systems, databases, and reporting
  • Support department directors and clinicians with scheduling, EMR management, and correspondence
  • Track budgets, process expense reimbursements, and assist with budget reporting and transfers
  • Maintain department websites, assist with publications and social media content, and coordinate events
  • Order and manage office and event supplies and liaise with vendors and IT/EMR providers
  • Handle phones, mail, meeting minutes, travel arrangements, and confidential documentation

Candidate Qualifications

  • Associate's degree required; Bachelor's degree strongly preferred
  • 3-5 years of experience in a medical or clinical office setting
  • Strong Microsoft Office skills (Word, Excel, PowerPoint) and database/EMR experience
  • Excellent organizational, communication, typing, and proofreading skills
  • Ability to maintain strict confidentiality and interact professionally with students and staff
  • Proven ability to multitask, prioritize, work independently, and adapt in a fast-paced environment
